Article summary

Associations are used to identify accounts, payments or pledges. Linking associations to specific accounts will help you group accounts so that in the future you will easily be able to pull them up based on the association.

Example:

Honoree Joe Smith gave you a list of names. Create an association called Joe

Each account gets tagged with the association Joe Create mailings based on association Joe

It is important to know that all associations are listed under specific association groups. This will keep associations organized and easily identifiable. 

Setting up Associations

Go to Tools >> Association Editor. Each association code is part of an association group. When setting up the association group, you will enter the code and optional description and then can configure where the association is used. 

  • Checkup on the Account if you want it used on Account. 
  • If you will want to link it to a pledge, payment etc., press on the button with ... on it and check off what it will be used for.

On the next tab you can create the association codes. You will enter the code and optional description and select the group code that it's part of. 

Master Flag- This will determine if the association will display prominently on the top of the account screen and not only within the association grid. 

Adding Associations to an Account

  • Open the account that you would like to add the association to
  • Click on the association expander (plus sign)
  • Right click/Click New
  • Select the association from the drop down list.
  • Associated with – to select a specific individual on the account to create this association for
  • Occasion - you can link the association to a specific occasion if the association was set up as 'used on occasion'.
  • Notes
  • Effective Dates - from when to when is this association active for this account. (Leave blank if it is always effective)
  • Review - if the association requires review place check mark
    • Date - date it was reviewed
    • By - who reviewed it
Quick Association

Quick association allows you to easily connect multiple accounts to an association.

Using Association Quick Entry


    • Go to Accounts - Quick Association
    • Select the association from the drop down list.
    • Associated with - to select a specific individual on the account to create this association for
    • Occasion - you can link the association to a specific occasion if the association was set up as 'used on occasion'.
    • Notes
    • Effective Dates - from when to when is this association active for this account. (Leave blank if it is always effective)


    • Click on the Account ID button to bring up the quick search screen, or

click on the smart search to search for the account you would like to add to the association. You can also key in the Account Id.


    • You can open the account by pressing the open account button OpenAccountFolder
    • Click 'Save' to save the account to the association
    • - If 'Auto Save' checkbox is selected, it will automatically save the association for the chosen account id.
    • Bring up the next account you would like to add.
Mass Association

Mass association allows you to add multiple accounts to an association at once based on criteria. It is one of the features of the “Search Accounts” screen. Once you search for the accounts that you want to associate, press the Associate button. You will be prompted if you want to associate all the accounts in the grid or if you only want to associate the accounts that are selected. It will then bring up the regular association screen for you to enter the association details to be put on all those accounts.
