The Account Import

The Account Import is used to:
  • Import new account information to Admire from a spreadsheet (e.g. a list of new potential donors who are not in your database)
  • Update existing account information in Admire from a spreadsheet (e.g. new phone number, addresses of accounts that moved)
  • Add ACCOUNT associations (for more details on this click here)
It is NOT used to import any FINANCIAL data into Admire (e.g. Pledges, Payments & Pledge Associations). 
  1. Go to Tools -> Data Maintenance -> Import Accounts to open  the Account Import Wizard.
  2. The Wizard has 3 general tabs which you will move through 1 by 1.

    Tab 1: Source File:

  3.  Select the button with "..." on the top left to open the search window. 
  4.  Search for and select the file with the data you would like to import.
    Please Note:
    If you are on AU/Azure Web Browser you will need to upload your data file prior to this step.

    Azure BROWSER VERSION:
    You can upload .csv files and use them straight from the AU uploads folder.
    The uploads folder is a temporary storage folder, so you may wish to save them to the Documents folder so that they do not get deleted.  
    If the file is an  xls it needs to first be copied to the Documents folder and then loaded onto the import screen page FROM THE DOCUMENTS FOLDER.
    Azure DESKTOP VERSION:
    Both .csv and .xls can just be loaded straight from your computer to the screen without any issues.

  5.  Select your file, which should now show up under the tab of the data type it is (e.g. if the spreadsheet is an Excel file it will show up on the XLS tab), with a Header saying "Select a Sheet'.
    If your spreadsheet ALSO contains ASSOCIATIONS:
  6.  Check off the box labeled "First Row Contains Column Headers" if your spreadsheet has headers
    (It is recommended that your spreadsheet HAS headers).
  7.  Hit "Next>" from  the bottom right corner.

    Tab 2: Field Mapping:

    It is important to know:
    In the Account Import you can use whatever header titles you want for your spreadsheet and then match them to the correct Fields in Admire.
    This is called "Field Mapping"
    (You can even map fields that have NO HEADERS at all!)
  8.  Now you need to map/match the headers from your spreadsheet to the correct Admire field.
    Select the "Insert All" button to load your headers.
  9.  There are 4 columns:
    1.  Source Field: This is the list of your headers from the spreadsheet.
    2.  Data Format: This is the format of your data in the spreadsheet.
    3.  Destination Field: This is which Field in Admire you want this data to populate.
    4. Null Value: If you want to assign certain value to a field when there is no value in the spreadsheet then put the value in here (e.g. Under HisTitle you want to put in "Mr." for all who have nothing listed so you would type in "Mr." in the Null Value column).
  10.  Some field auto-map but for the rest, select the proper Data Format next to each Source Field and then the proper Destination Field.
    Sometimes you may need to put in a Source Field more than once to pull over data into multiple Admire Fields (e.g. Address, BothTitles - see screenshot).
    Here is an example:
    Your spreadsheet has a column with Last Name, His First (e.g. Klein, Avrohom).  
    You need 2 pieces of data from this 1 column so:
    1. The Source Field would be the name of the column
    2. The Data Format is Last, First
    3. The Destination Field - you need it 2 times so here is what your screen should look like:

    Your fields do NOT need to be one after another in the order listed as long as they are somewhere on this tab (see screenshot):
    Here is an example of using an Address Column (e.g. 613 Main Street Apt 7b) to split into 3 columns (e.g. Street Number, Street Name, Apt):
    Here is another example for a Title Column that has both titles in 1 column (e.g. Mr. & Mrs.):
    Remember:
    This part of the import can be complicated, please reach out to your consultant & schedule a session to clarify this step if needed.
  11.  Once you finished mapping you fields select the "Next>" button from the bottom right corner.

    Tab 3: Match Existing:

  12.  List screen lists all the accounts that are in your spreadsheet.  Scroll across to make sure all the columns match the fields appropriately.
    If you need to make any changes you can go back by selecting the "<Back" button from the bottom right corner.
  13. The check off "Display Original Columns" if you would like to also see the original spreadsheet columns.
  14.  Select which accounts you would now like to Import into Admire.
    1.  Use the buttons "Select All", "Clear All", "Invert Selection' and "Select All Unmatched" to assist you with this.
  15. Now select "Match/Create Accounts". 
    1. In this screen you will go through each account 1 by 1 and compare it to your current Admire data.
    2.  If this is a new account then select the "Add New" button from the bottom of the screen.
    3.  Admire will compare the account info to your database and list every possible match.  
    4. The higher the match, the higher on the list it will show (it shows the % of probability on the side and higher %s will be highlighted yellow - see screenshot)
    5.  If you feel that an account is a match, select it and then select the "Use Selected" button on the bottom.
    6.  A screen will pop up that compares the information.
    7.  The Current column list the data currently in Admire while the Update column has the new information.
      1.  If any basic account info is different it will highlighted in red. 
      2.  You can choose which info to use by selecting it.  The default will be by the old data.
      3.  You can choose to Ignore, Add or Update an address/tel #.  
        Note the Default:
        Be aware that the default is that it ADDS a new tel number and new address - Make sure to select IGNORE when incoming tel #/address is really NOT new!
      4. You can also set an address to be the Default address by check the Set Default box.
      5.  Once you selected the changes you would like select "Ok".
      6.  You can choose to skip an account by selecting "Cancel" on the Match/Create account screen.
        1.  To continue importing, select "Yes" to the pop-up question "You have chosen to skip one account.  Would you like to continue importing?".
        2.  To end importing, select "No" to the pop-up question (see above).
    8. You will be prompted to Save your list, you can choose to or not.
      1.  The Saved List will include the Account IDs which might be useful to have in spreadsheet format.
  16.   If you select "Clear Selected Act Link" it will clear the "Account Id" from the account selected in the above list.
  17.   Select "Finish" once you are done to exist this screen.
