How to create an Advisor report
- Go to Tools>>Administration>>Automated Report Service, press “New” to create a new automated report
- On the “Data” tab you first want to choose if you are running a report or a mail merge or an export. Be sure to click on the checkbox “Run update on success” if you want the report to update once it sends out. ex: for receipts after they are sent you want all the payments to get updated that the receipts were sent.
- Then you can choose the report and filter that you want to send, you can also create a new filter directly from this screen.
- A good idea would be to run the report in the report wizard before you email it out to make sure it is setup properly.
- The button “Parse Variables” on the right side is there so that if the filter has any prompts you can press that button and set the prompts then. If there is a preset field like todays date you should unclick the save button so each day it will calculate the date again.
- On the next tab called “Delivery” you can choose how you want the report delivered, usually it will be by “Email” but you can choose file and then the file will automatically get saved onto your computer.
- Next put in the from email name and address that was setup to send out emails with advisor.
- You can then fill out the “To”, “CC”, and “BCC”. If you are sending out receipts and you want each receipt to go to that persons email then check off “Split to multiple recipients based on email field”.
- On the bottom the Format should be “PDF” this way they will get the file as a PDF attachment, however it can be one of the other choices.
- Fill in the “Subject”, “Body”, and “File Name”.
- On the “Frequency” tab you will choose how often you want the report to be sent. You can choose “Once” and then it will only go once at the date and time that you put in the “Next Run” box.
- Or you can choose “Scheduled” to set a set time that this report should go out. You can set the report to go out at a certain: Minute, Hour, Day, Month, DOW, Week. Ex: by minute choose “select” instead of “every” and then select the minute you want the report to go out by.
- You can also select more then one minute or day by pressing shift and then selecting like if you want the report to go out every weekday but not on the weekends.
- When you are done press “auto next run” to set the next time the report is supposed to run.
- When done press OK and your report is all set!
