Full Day Absence Update

Being that each teacher who take attendance in Adrenaline does not see previous absences, many schools would like to change all those absences to "Full Day Absence".  
Other schools may choose to changing all these absences to  "Full Day Absence" as it is much more efficient for filtering on reports. 

How this Export/Update works:
You run an Export in the Report Wizard which compares each students attendance records per day to the amount of courses per day.
A student who has a high percentage of Absent records to courses will be listed.  
Then those records update to "Full Day Absence".  
This Export/Update works with some defaults which may need changing according to your schools specific settings.  
The default settings are:
  1. to pull Students who have a 75 Percentage Absent rate. (meaning they were marked Absent for 3/4 of that day's sessions).
  2. to look for multiple records of the attendance type "Absent"
  3. to change those records to the attendance type "Full Day Absent"
To change the defaults: 
  • Go to  Tools -> User Options -> Preferences
  • From the left sidebar select School -> Attendance -> Absent to FDA Update
  • Select the "System Preferences" tab - here it lists the 3 preferences which you can change
    • Absent Type - here is where you can change #2 above
    • Full Day Absence Code - here is where you can change #3
    • Percentage Absent - here is where you can change #1  (for example if you would want to pull students who were Absent for half of the day's courses, change the number to 50)
  • Each can be changed by selecting a different option from the dropdown list (or typing in a different number by % Absent) and then hitting "Save"

To run this Export/Update:

  • Go to the Report Wizard Screen 
  • "Choose An Action" select "Run Export" 
  • "Choose an Export" select the Export called "Absent to FDA Preview and Update"
  • "Choose a Filter" - you can leave this blank and the report itself will prompt you for the Term.  If you would like to run this update by grade or class then you can create a filter.
  • Step 4 can be left blank so go straight to step 5 and hit the "EXPORT" button. 
  • Select the Term you are working with from the drop down list.  Usually this is the current term.  
Please note:
In order for this Export/Update to work properly you need to have set up the Attendance types: Absent and Full Day Absent.  If they are not set up yet you will get this error message when running this Export/Update: Click here for instructions on how to set up Attendance types.
  • Now the Export should pop up. 

The following columns in the Export should be looked over:
  • attqty -  The number of times this Student has an "Absent" attendance record for that day
  • sesqty - The number of session this Student was enrolled in for that day
  • PercentageAbsent - The % of how much this Student was absent for that day.  For example if the student was absent all the session for that day the % would be 100, if the student was absent for half of the session that were that day the % would be 50.

Please Note:
This Export/Update is set to only pull up students when all of their attendance records are the "Absent" or "Full Day Absent" types for that day
If the student has even 1 record that is not "Absent" he/she will not appear on the export.
i.e. Student is marked "Late" for 1 course/period but the rest of the day he/she is marked "Absent" - this student will NOT be on the export list
  • To Save -  you can use the bottom bar that says "Click here to save export..." to do so. 
  • To Update -  If all these records are correct and you would like to update all of them to "Full Day Absence" then select the button on top labeled "Update Now" 
    • If there are changes you would like to make before you Update Now, exit this screen, make the changes and rerun the report
    • You can also change the defaults on this Export/Update by following the directions in the blue box above to change what data should pull
    • You can rerun with a filter to narrow down your data as well
Remember!
Your attendance types will only update if you hit the "Update Now" button.  Pulling up the Export is not enough!
