Generating B6T Busing Forms

**New Release**
There is now a new option to generate pre-filled B6T bus forms using the Report tool in Admire. This report can be used with Advisor to email this pre-filled form to parents. 

Sample Prefilled B6T Report

There are fields that need to be entered into the system before running this report. To fill out these fields:
1. Go to Tools -> User Options -> Preferences

2. Click on the 'School' menu and select 'B6T Form' 

3. The following information needs to be pre-filled before running the report to fill in the data.

  • Date School Opens
  • Date School Closes
  • Parent Phone Number Type - this will be the phone number that is used on the form for all accounts. 
  • School Address
  • School Hours From - This is the morning start time
  • School Hours To - This is the afternoon end time.
    Multiple Start/End Times
    If your school has different start and end times, there are 2 options:
    1. Leave the field blank and have the parent's fill in this field. 
    2. Run this multiple times with filters for the different grades and update the start/end time as appropriate for each run. 
  • School Name
  • School Phone Number
  • School Year

  • Guardian - can choose if you want the mother/father/none to be filled out as the guardian. If 'Mother' is chosen but there's no mother's name on the account it will do the father and vice versa.
  • Use Next Year's Grade - if you haven't advanced your students yet (thereby not being able to run for next year's term), you will need it to display the next year's grade. In this case when it prompts you for the term you would just choose the current term. That will tell it which students to pull, and it will display the grade as one grade higher than the student's current grade.

Running the Report with Empty Fields
If fields are not filled in, this report will run successfully, however, it will not be pre-filled. 

The following information is pulled from the system:

  • Student Grade for the coming year - Currently: This will be the grade of the selected term in the filter. Coming Soon: option to display one grade higher than the term selected in the prompt, so you can run this before advancing your students. (Contact us if you need sooner.) 
  • Gender - This will pull from the Student's Individual 'Gender' field. 
  • School District - For Lakewood this field will pre-fill with 'LakewoodSTA'. For all other students, this will pull the 'City' on the Student's Address.
  • Mileage - This is a field that can be left for the parents to fill out. Optional: This data can be imported into the system as an association named 'Mileage' (exact spelling is required). If there is a Mileage association, the Mileage field in the report will automatically be prefilled. To import the data into the system, follow the instructions on Importing Mileage as an Association
  • Coming Soon! Guardian - this can either be left blank, or fill in the mother's or father's first and last name - depending on what you choose in the user pref. (Contact us if you need sooner.) 

The following information needs to be filled in by the parent:

  • Parent Guardian Name COMING SOON! This will be pre-filled. (Contact us if you need sooner.)
  • Date
  • Signature
  • Optional: Mileage

How to run the B6T form report: 

1. Go to reports and select 'B6T Form'

2. Filter for the term that you would like to run this report for. 

3. Click 'Preview' to run the Report.
