How to Run an Export from the Search Accounts Screen

Exporting from the Search Accounts Screen:
There are many benefits of running an Export from the Search Accounts Screen if all you need is a simple List of Accounts with basic account information like address and phone numbers.
Go to Accounts -> Search Accounts:
Here is the Search Accounts Screen. Various buttons are boxed in different colors to explain their use below.
- Find the accounts you would like to export
- You can do so by easily pulling them up by Association.
- Check off the box next to Association (boxed in BLACK)
- Select the Association you want and hit Search (boxed in PURPLE)
- You can search for account via Notes.
- Check off the box next to Notes: (boxed in PINK)
- Type in the words you are searching for and hit Search (boxed in PURPLE)
- You can search for accounts NOT in an Association.
- Check off the box next to Not Asc: (boxed in BLUE)
- Select the Association the accounts should NOT be in and hit Search (boxed in PURPLE)
- You can search for accounts using any filter previously created or create a new one.
- Check off the box next to the work Filter (all this and below is boxed in ORANGE)
- Use the Magnifying Glass to smart search for a filter or
- Select the down arrow button next to the 3 dots to edit, copy or create a new filter
- Once you have the filter you need, hit Search (boxed in PURPLE)
- You can do so by easily pulling them up by Association.
- The default format for your list is the "Account Lookup Standard" (boxed in GREEN)
- You may wish to change this lookup to see the columns displaying info differentlyHere is a listing of the different Lookups:
Account Look Up Standard - Account ID, SystemDisplay1, All Names in separate columns, Address, City State Zip, Address ID, Tels, Email, Account Notes
Account Look Up Mail Format 1 - Account ID, Last Name, Company Name, His Name, Her Name, Address Line1 - Line 6 (formatted for mailing), Date Entered, Entered By, Line Dear (for letters), Sort, Street Address split into individual columns, Address ID, Account Type - 1=personal, 2=business, Email
Account Look Up Mail Format 2 - Account ID, Names, Company, Address1, Address2, CityStateZip, Country, Account Type, Line Dear, Sort, Last Name, Street Address in separate column.
Account Look Up Mail Format 3 - Account Id, Account Code, Last Name, His Name, Her Name, Line1 - Line6, Date Entered, Entered By, Line Dear, Line Dear No Override (salutation not used), Sort, Both Titles, Both Firsts, Both Firsts2(Her Name first), His Full, Her Full, One First, One First Initial, One First2, Both Titles Last Name, His Title, Her Title Standard, System Display (how it appears in the program), Street Address in separate columns, City, State, Zip, Address ID, Salutation, Name Format, Account Notes, Both Inactive 0=False 1=True, Ignore Him, Ignore Her, Account Type, Email
Account Look Up w/ All Address - Account ID, Company Name, Last Name, His Name, Her Name, Address, City State Zip, Address Type, Street Address in individual columns, Address ID, Address Notes, Tels, Email. An Account that has multiple addresses will display once for each address.
- Use the Magnifying Glass to smart search for a different lookup or use the drop-down arrow
- You may wish to change this lookup to see the columns displaying info differently
- Use the buttons boxed in yellow to help you select the accounts you wish to export and/or select them one at at time from the list.Note:If you wish to Export the entire list you do not NEED to select the entire list (although you may). You would just select "No" when you get the pop-up discussed in Step 5.
- Once you have the accounts you wish to export selected you can hit the Export button (boxed in PURPLE).
- A box will pop-up asking you "Would you like to export only the selected record(s)?
- If you only want to Export the selected accounts then hit "Yes"
- If you do not care and wish to Export the entire list then hit "No".
