Importing Forms

- Go to Parent Portal: Forms: Import Forms
- Select your Parent Portal from the dropdown list next to "Website".
- Hit “Connect”
- You can select which type of form to upload by the Form Type dropdown or you can select All.
- This may take time, depending on how much data you are downloading so please be patient.
- Choose form you want to load and hit “Load Forms”
- This will load all the forms that were submitted to the Parent Portal and are available for download.
- If the form includes an option for parents to submit their own pdf/jpg file (i.e. a birth certificate) then a screen will pop up, where you will need to map the folder where the documents should go.
- You can limit your search by Date Submitted by filling in dates in the top right corner.
- If you want to include forms that are missing payments or if you want to include forms you already imported check off these boxes in the top right corner.
- If you only want to see the forms from a specific account you can check off the "Load by Account" and put their ID in the box right next to it.
- Note that any form on the "spreadsheet" list that is:
- Italicized means that this person's form was already imported
- Light Grey means that there is no payment when their should be one.
- Select the forms that you want to import to Admire:
- You can do this either Manually or Automatic - select the option from the bottom of the screen, next to "Import Forms":
- Manual– use this option when you need to match accounts and check the data.
- Select the Forms you would like download and hit the "Import" button
- This brings up the Import Wizard. You will follow each screen, one at a time.
- You can reject the form if there is a problem - hit the "Reject Form" button.
- You will be prompted to send a message to the parents.
- On portal will turn red
- Once submit it turns green and cannot be resubmitted unless school rejects it
- The Wizard will pick up new data and you can decide whether or not to keep the changes
- Highlighted in Yellow means that this is new information the parent entered.
- Red underneath means that this was original data - if there is no red underneath it means that you never had this information until now.
- You can hit the undo button to put original information back in.
- Everything else did not change
- Follow the prompts to complete the process
- There is an option at the end to print a report of what was imported.
- Automatic– some forms cannot be done this way – it will tell you if cannot do it.
- Use this option mostly for consent forms, when just a yes/no answer is needed.
- You can do Tuition Contracts on Automatic. However, please note that it is better if you first test this out and do a few manually to make sure everything is pre-filled correctly before you mass import it.
- Manual– use this option when you need to match accounts and check the data.
