Parent Portal SMS/Voice Calls Service Manual

The Parent Portal SMS/Voice service is used to text/call any phone numbers stored in Admire via the parent portal website or a cell phone that is synced to Admire.

Portal Set-up

Users:

  1. In order to log in to the portal, you need to be given the parent portal permission. To give a user permission,

go to tools >> administration >> user permissions. In the user box, check off the user’s name >> in the roles box, check off the role called “parent portal”.

  1. Click Assign
  2. Go to Parent Portal >> setup >> sync users >> Choose your website from the drop-down >> load
  3. Find the user >> enter the user’s cell phone number >> Upload Users


Communication Lists:

IMPORTANT: In order to send a message to any number using the portal, the phone number must be uploaded

to a communication list. It is not directly linked to all data on Admire. How to upload a communication list:

  1. Go to Parent Portal >> Communication Lists. Choose your website from the drop-down >> Connect
  2. To make a new list, click ‘New List’. Choose a lookup and name your group.
  3. There is an option to ‘Split by Field’, that will automatically split the group by the field chosen into sub- groups.

EX: Using the lookup ‘Telephone Lookup For Texting’, you can check off ‘split by field’ and choose ‘Type’ from the drop-down. That will create a group with subgroups of all the Tel Types.


This is how that would appear on the portal:

  1. The first one is called ‘Phone Numbers for SMS’. Any phone numbers put there will be assigned to the method of SMS
  2. The second one is called “Phone Numbers for Voice Calls”. Any phone numbers put there will be assigned to the method of Voice.

4. In the filter section, there are 2 places to put a filter.


  1. Once your filter is chosen, you can click ‘Preview’ to see the list of numbers included in your filter.
  2. The ‘Saved Prompts’ button would be used if the filter has a prompt, and you want to save the data for the option that you chose.
  3. You can create a subgroup within a group by putting the name of the group in the group box and then the sub- group name in the subgroup box.
  4. To create another subgroup, make a new list using the same group name with a new subgroup name.

9. Once you click OK, the numbers will upload to the portal.

PLEASE NOTE: If a number is uploaded and then gets deleted/edited in Admire, it will not automatically update.

If any accounts/numbers are deleted, edited or added, you will need to sync the lists . To sync lists:

On Admire, go to Parent Portal >> Communication Lists >> Connect>> Check off the lists that need to be synced

>> click ‘Sync Selected Lists”.


Sending Messages from the Portal

Please note: You will only be able to log in if you have been assigned to the parent portal permission and your user is properly set up.

The link to your portal is: https://portal.admirepro.com/admin To log in:

  1. Enter your school access code , click “enter site”
  2. Use your regular Admire username and password at the next screen

-Once you’re on home screen, click on “MESSAGES” and choose “Groups”.

  1. Click on “Get Secure Code” . A code will be sent to your phone. Enter the code and then click “submit”.
  2. If you check off “Remember this brows- er” , you will not need a verification code the next time that you log on from that comput- er.
  3. Select the Group that you would like to send messages to.
  4. In the next screen, you will see the subgroups (if applicable) which can be selected. Click ‘next’ and it will display

the amount of phone numbers selected.

You can collapse/expand the details by click- ing on the arrow.

  1. By default, all the phone numbers are selected. To unselect/select all, check off the checkbox on the header.

  1. Select all numbers that you want to send messages to and enter the message in the text box on the bottom of the screen.
  2. Click “Send Messages”

IMPORTANT: By default, the message will send according to the method column for the phone number. If it says SMS, it will be received as a text and if it says Voice, the message will be received as a text-to-

voice.

To use a different method than the one listed:

For text-to-voice or SMS:

  1. Enter the message in the box and check off “use override method”
  2. Choose the method from the drop-down list
  3. Click Send Messages

For Voice Recording:

  1. Check off “Use Override Method”

  1. Choose “Play Recording” from the drop-down
  2. Click “Choose File” and find the recording that you would like to send out.
  3. Click Send Messages.


Sending Messages from a Cell Phone

First, your phone number needs to be assigned to a group or subgroup. A phone cannot be assigned to more than one group.

To assign a user to a messaging group:

  1. Go to the parent portal tab on Admire, click on setup, then click on “sync users”
  2. Choose your school’s website from the drop-down and click “load”
  3. Find the user and scroll to the right, use the drop-down by the column of “MessagingGroup” and choose the group.
  4. Click “Upload Users”

This method is also used to change the group that the user is assigned to

IMPORTANT: If no messaging group is chosen, the phone is assigned to ALL numbers that are on the portal.

To send out a text/text-to-voice:

  1. Text the message that you would like to send out to 848-233-4015.
  2. You will then receive a text requesting a confirmation that you would like the messages to be sent. EX: (“Reply 1234 to fwd this message to Bais Yaakov”(100 recipients))
  3. To confirm, reply with the correct numbers. If you don’t reply, the message will not be sent.
  4. The messages will then be sent as a text to the numbers assigned to the method of “SMS” and as a text- to-voice to the numbers assigned to the method of “Voice”.

To send out a voice recording

  1. Record the message that you would like to send by calling 848-233-4015 and leaving a message after the tone.
  2. You will then receive a call back from that number. It will replay the message and let you know the number of recipients.
  3. To confirm, press 1, to re-record, press 2.
  4. If you want to cancel it, you can just hang up.
  5. The message will then be sent as a voice recording to all numbers, regardless of the method that the phone number is assigned to.

To see any messages sent/received, they can be viewed in the message logs. To access the message logs:

Open the communication tab in Admire >> SMS/Voice >> Message Logs >> Enter the criteria you would like to search for and click “Search”

PLEASE NOTE: If a recipient replies “STOP” to the message, they will no longer receive messages from your number.
