Phone Numbers

Adding a phone number

1. Right click in the grey area on the right side under contact information.
2. Click New
3. Enter phone type, area code and phone number. If you would like, you can link the phone number to an address by selecting it from the drop down under address.
4. Click OK to save and close the phone entry screen.

Phone Quick Entry

In the orange line at the right enter the whole ten digit phone number, no spaces or dashes.
Example: 7329143214

Click on the black arrow at the end of the line to save the phone number. Or you can press enter twice to open the Data To Parse screen.

Right Clicking on a Phone Number:
Right clicking on a phone number gives you a few options. The options available will depend on the type of phone number it is (phone number, email address or web address)

• Edit - allows you to make changes to the selected phone number (can also be done by double clicking on the phone number)
• New - allows you to add a new phone number (can also be done using the quick entry line)
• Delete - allows you to delete the selected number
• Dial - This will come up if it is a phone number. Will automatically dial the selected phone number if you have the dialing options installed on your computer (requires IT configuration)
• Email - This will display if it is an email address. Will bring up your email program and fill in the email address in the To line
• Visit - will display if it is a Web Address. Will open up your web browser and bring up that web address
• Copy – allows you to copy the selected contact information
• Report - If there are phone number reports set up you can print a report for the selected phone number.

NOTE:

When entering a phone number with quick entry the default phone type is HOME for a personal account, MAIN for a business account. If you enter a web address or email address it will automatically fill in the correct type.

Linking a phone number to an address allows you to see at a glance which phone numbers ring at which location. The phone numbers become highlighted when you click on the address that they are linked to.
