Article Summary

Using the Advanced Filter:

Filter Tip #11:

Use the Advanced Filter Tab for the following 3 reasons:

  1. You want to filter "do not have" AND "do have" IN THE SAME FIELD.
  2. You want to filter on two different Entities.
  3. You want to escape the word "a single" to search for two or more criteria of one Entity that on the Basic tab are opposing.
It is Important to Remember:
Every part of your filter is IMPORTANT!
What you leave in AND what you leave out!
It all makes a difference as to what the filter sentence means and changes the results you will see.

Filter Tip #12:

The Advanced tab is set up that each box represents a full Basic Filter:

FYI:
  • You do NOT need to start off in the Basic Tab but it is an available option.
  • When you move from Basic (with a filter on Basic) to Advanced, it takes your Basic filter and assigns it a name with numbers (e.g. Criteria For:275386)
Warning!!!
If you are in Advanced and set up a filter and then go back to BASIC, your Advanced filter will get LOST/ERASED!!!
Do NOT do that!!
Instead edit the Basic filter by right clicking on the box that represents the Basic tab (see above) and selecting "Edit".
  • No sentence is displayed in the Advanced tab but it reads similar:
    • You start off with "This filter will pull any records which"
    • Then you go into each box that was added and read them one by one.
    • It is read the same was as Basic - first the column all the way on the left - DOWNWARDS then to the next column DOWNWARDS and so on.
    • The ANDs and ORs are available here as well:
      • AND: Downwards - Stricter Filter
      • OR: Sideways - More Lenient Filter
      • You can invert this by checking the invert box (top left corner) but this is not something recommended.
  • To create a filter in one of the boxes:
    • Right click on the box
    • Select New Criteria
    • This will open a new filter box.
    • You can also select from the previously made filters.
After You Create the New Criterion (new filter in the box):
It should auto populate the box you were in, if it does not it will be listed on the bottom of the dropdown list.
      Always Keep In Mind:
Think carefully, if in your situation with the criteria and option that you chose for this filter sentence:
Does it make sense?  Is this doing what you want?
