Student IDs and Student Numbers are completely unrelated components of Admire software; read on!
Student ID
The Student ID is assigned by the system automatically to every single student in the order they are added into your Admire system… and each ID is therefore unique.
You can use the Student ID for filtering (in the filters) on the Student Browser, on the Report Wizard, and so forth (see screenshot for one example: filtering for accounts with a student who is currently registered in the school and whose Student ID is "425").
As shown in the screenshot above, the Student ID field is in fact called Student ID in the Admire filters.
Note, however, that its actual code name (the name you would see as the relevant column name on an export or when editing a report in the Report Manager) is Std_Id (see screenshots).
You can use the Student ID to search quickly for a student:
Under the School tab at the top of your Admire, the first option on the dropdown is Open Student. Right next to the words Open Student, you will find a little box. There, you can type in a Student’s ID, then click Enter, and the student’s page will load (see screenshot).
Although the Student ID actually does not show on the main page of a student, you will see it (as shown in some of the screenshots above) on reports that have that field added, and on the specific exports that contain that column. You can also search generally for students in the student browser and then hover your mouse just precisely on top of the “S” in the column header on top called StudentName. When you hover there, your cursor will change into a half-arrow symbol. If you use that symbol to carefully drag out the hidden column to the left of the Student Name column, you will see Student IDs. You can then additionally click export on the bottom, if you wish, to export the list (it retains the Student IDs after downloading, even though the column was hidden, and will in fact retain the student IDs even if you don’t expand the column).
See accompanying one-minute demonstration (no sound):
Student Number
The Student Number can be found in the upper-right corner of each student’s page on the Student Browser, in the box labeled Student # (go to School -> Students, and then see screenshot below).
Student Numbers are assigned either randomly by the Admire system – in bulk – via the update “Generate Student Numbers” in the Report Wizard, or one-by-one in the student pages in the student browser.
Here are some screenshots demonstrating how to run the bulk update:
First --
Then, don't forget to filter! (You likely would at least want to filter by term.)
Then click the "UPDATE!" button.
The system will prompt you to confirm that you wish to run the update; click yes:
Then the system will prompt you to answer two questions (see screenshot below):
1. The system will ask you if you wish to overwrite existing student numbers.
This only overwrites numbers for students who have not been excluded via the filter you created, as only students who have not been excluded are affected in any way by the update). If you wish to overwrite the existing numbers, check off the corresponding box. If you do not wish to overwrite, and you wish to only generate numbers for students who do not currently have numbers, just leave the box unchecked.
2. The system will ask you what number it should begin giving out the numbers from.
For instance: Although the numbers will be given out automatically, you may wish to have the list of numbers start at, say, 1000. Fill out the corresponding box, or leave blank if you have no preference. Note that the "begin from" number only works if the number you input is higher than all other student numbers in your Admire.
The system will then likely announce that you are not updating anything, and ask whether it should continue regardless (see screenshot).
This is due to a bug in our software; just click "Yes." (Note that in some areas of Admire, pop-ups like this one carry meaning, and is some areas of Admire they do not.)
The system will then either close the pop-up and appear to do nothing, or the system may announce that you have successfully updated nothing 😁 (see screenshot).
Either way, your Student Numbers should have been generated. Go to the Student Browser and check if they have indeed been updated. (See above for information about where to find the Student Number).
To edit a single Student Number on a student-by-student basis, simply edit the number directly in its box on the student's page, and then make sure to click the save icon on the bottom of the page (see screenshot):
Now, to be clear: The system does not require every student to have a Student Number assigned! Additionally, if you do assign Student Numbers, the system does not force the numbers to be unique. Of course, if your school uses Student Numbers, you obviously may want to make sure that all students registered in your current term do in fact have numbers that are unique amongst the numbers of other students in the term. (Meaning: You'll likely just want to make sure everyone in your current term has their own number, disregarding the fact that students no longer registered in the school may also have the same number.)
IMPORTANT: Whether you are using Student Numbers or not, Student IDs remain fully in use. They are needed for the system itself! On the actual Admire filters, you’ll be able to filter by both the Numbers and the IDs, respectively.
Deletion:
Note that there is no way to mass delete student numbers besides overwriting them (which, obviously, means that you are giving them a new number). To delete a number of a single student, simply delete the number on his page and click the save icon.
Uses
One of the purposes of the Student Number (as opposed to the Student ID) is that the Student IDs are (and very usefully, too) more programmatic, so students in the Admire system receive unique IDs from Year One that your organization uses Admire… ad infinitum. If your organization, however, in accordance with its particular processes and needs, wishes to also use a “normal” and “simple” set of numbers (perhaps 1-500) for various organizational purposes… you could choose to utilize the Student Numbers option – and those could then be reused from year to year. Note, however, that since (as noted just above) there is no way to mass-delete numbers without generating new ones, and since the Begin From option only works if you start from a number higher than any other Student Number in your Admire database... you would actually need to manually insert the Student Numbers one-by-one in such a case.
Of course, you wouldn't necessarily need to bother deleting the numbers from the alumni.
Another use: If your students are given specific government student numbers, you may wish to record those/use those here. Since Student IDs can't be edited without customization, you'll find Student Number helpful.
Moving on: As mentioned, just like with IDs, you can use the Student Number for filtering (in the filters) on the Student Browser, on the Report Wizard, and so forth (see screenshot for one example: filtering for students with a Student Number above 820).
As shown in the screenshot above, the Student Number field is in fact called Student Number in the Admire filters.
Note, however, that its actual code name (the name you would see as the relevant column name on an export or when editing a report in the Report Manager) is Std_StudentNumber (see screenshots).
On the general Admire interface itself, there is no simple search box (as exists for IDs) that searches by Student Number. It also does not show up amongst even the hidden columns on the Student browser (and, of course, it does not show up on the export you can create from those columns, either), and in general shows up less on exports than does the ID.
Cautionary Note: When you use the Open Student search box (as outlined above)… remember that you are using ID, not number; don’t get confused when the student page loads and you see the student number (which, barring a pretty big coincidence, is not identical, of course, to the ID that you just searched for) displayed prominently on the page with no indication of the ID. That’s simply how it works on the student pages – the numbers show, and the IDs don’t… even though that helpful search box uses IDs specifically.
