The Batch Manager Screen

The Batch Manager Screen is the Grand Central Station of all things having to do with your Batches.  Here you can create, view, search and edit batches.  From here you can access the payments that are not on a batch and put them directly into batches.  Additionally here is where you can access the Record to Accounting features.

Access the Batch Manager Screen

Choose  from the Admire Left Sidebar.

Filter Which Batches to View:

  • Use the dropdown directly under the words Batch Manager to select which kind Batches you wish to view.

  • All batches - displays every single batch in your database.

  • Unrecorded batches - the Batch Manager ‘Go To Screen’ as it displays all batches still being worked on i.e. open, unrecorded.  

  • Open batches - displays all open batches.

Searching in the Batch Manager

  • Click on located at the top right of the Batch Manager.

  • The Batch Search bar opens up.

  • Type either the entire Batch Name, just some of the Batch Prefix, Date or even just a single digit or letter.

  • The display will update accordingly.

  • Additionally you can use the dropdown at the end of the search box to search by different fields.

Creating Batches

  • Create one batch by selecting from the top right corner.

    • The Create Batch popup opens.

    • Choose which Bank Account this batch will be deposited into from the Bank dropdown.

    • Then click on before Name to generate the Batch Name.

    • Choose the type of batch this is from the Type dropdown.

    • Batch Name will auto generate..

    • Use the Note field as needed.

    • Select to create the batch.

  • To create a new batch for every Bank Account listed in your database.

    • Select the dropdown on .

    • Select .

    • One batch for each bank account will be created with the default type Check.

  • Additionally you can create a single batch directly from the payment entry screen.

The Batch Name וקרא שמו  

  • Batches are named to differentiate them from the others.

  • When creating a single batch you can choose your own name.  Additionally, you can edit a batch and change its name.

  • Admire Generated Batch Name:

    • The prefix of the Admire generated name is taken from that bank account’s Batch Prefix (set up under Settings → Accounting → Deposit Accounts).

    • The middle of the batch name is the date it was created.

    • Lastly the batch name has an alphabet starting from “a”, each subsequent batch from that same account that same day will get named with the next alphabet.

Moving Payments into Batches /aka Batching Payments

  • In the top right corner of the Batch Manager there is a button labeled Batch Payments.

  • The number displaying in () is the amount of payments in your database that are not on a batch.

  • Click this button to access the Batch Payments screen.

  • Payments can be view by Payment Method

  • Then select

    • Or Select only the payments that should be moved to a batch and choose.

  • Search and/or select the correct batch from the list.

    • You also have the option to create a new batch directly from this screen.

    • Note: only batch types that match the selected Payment Method will be available.

  • You can open any payment on this list to view/edit, by clicking on it.

Viewing Payments on a Batch

  • Use the dropdown all the way to the right of a batch to open it and view all the payments in it.

  • To fully view or edit any payment, click on it directly.

  • click this button to view how the payments on this batch will get grouped for Record to Accounting.

    • You can still view the individual payments by expanding each section using the dropdown arrows.

      Admire Quick Tip!

      Use the Group by Deposit Breakdown to help you with QuickBooks/Bank Reconciliation.  When there are discrepancies this tool can help you follow the trail to pinpoint the problem.

Closing Batches

  • New payments cannot be added to a closed batch.

  • You can easily close a batch in the Batch Manager by clicking located at the right end of the batch line.

  • Closing batches in bulk is easy as well.

    • Choose .

    • Select all batches by clicking on the empty square at the top of the list next to Batch Name.

    • Choose  from the top of the list.

Editing/Deleting Batches

  • Select located at the end of each batch line.

  • The following dropdown will appear:

  • Choose Re-open to change that batch to Open.

  • Choose Edit if you wish to make changes to the batch.

    • The selected batch will now appear with a border around it.

    • All fields that are available for editing are now accessible.

    • You can type in a new Batch Name, select a different Bank Account, choose an alternate date and/or mark the batch Recorded to Accounting.

    • Select when you are finished editing to save your changes.

    • If you wish to go out of the editing option without saving changes, select .

  • Choose Delete to remove that batch from your database.

    • Payments that were in that batch will now be unbatched.
