How to Setup a Custom Field

  • Select the gear button on the top right of the screen. 
  • Then select Data Organization from the sidebar.
  • Select the Custom Fields tab.
  • Select+ Create Custom Field
  • The following screen will pop up: 
  • Type in what you would like this new Custom Field to be called in the box under Name.
  • Select what Type of Custom Field this should be by selecting one of the options from the Type dropdown.
    Type refers to in which part of Admire this Custom Field will be show and be available.
    Custom Field Type Options:
    • Account: available on the account level
    • Payment: available only on payments
    • Pledge: available only on pledges
  • Select the Format for this field by selecting one of the options from the Format dropdown.
Custom Field Format Options:
  • Text: formatted as written words.
  • Select:allows you to set up a dropdown list of custom options to choose from.
    Creating a Custom Drop-down for your Custom Field:
    • Use the "Select" option.
    • Screen will expand to include a space for List Options 
    • Type in your first option and select  to add more options.
    • When done creating your list select
    • To allow for the user to add new options while doing data entry, make sure to check off this:
      This means that the user can free type on the space designated for this Custom Field and thereby create a new option for that field.
  • Number: formatted as a mathematical number.
  • Checkbox: appears as checkbox that can be checked/unchecked
  • Currency: formatted as money with $ symbol.
  • Select

  • Go to Settings -> Custom Fields
  • Select pencil icon located to the right of the Custom Field
  • Make your changes in the screen and hit

Deleting the Custom Field

  • Select the garbage icon located to the right of the Custom Field
  • You will be prompted if you really wish to delete this Custom Field as it will be removed from all accounts 
  • Select  to completely get rid of this Custom Field from your database

How to View/Edit Custom Field on Accounts

  • When entering a new account your Custom Fields will appear below the address & salutation information. You can just scroll down the entry screen to access them.
  • How you edit/delete the Custom Field will depend on what format you chose for it (see above Custom Field Format Options).
  • The Custom Fields are displayed on the Account under the Contact Details section.
  • Use the bar on the side to scroll down to see all your available Custom Fields.
  • Select the  to edit the Custom Field.

How to View/Edit Custom Field on Pledges/Payments

  • When entering a new pledge or payment your Custom Fields will appear below the note box. You can just scroll down the entry screen to access them.
  • To edit/delete a Custom Field on a pledge/payment, select the pledge/payment and then scroll down till you reach the Custom Field.
  • If there is no value by that Custom Field:
    • Select the greyed out + sign that appears when you hover over that Custom Field. 
    • Now you can edit that Custom Field.
    • Select when done or  to close.
  • If there already is a value in that Custom Field:
    • Select the value to allow you to edit.
    • Select when done or  to close.

Adding Custom Fields to Reports

Now that you have added Custom Fields to your database you may want to:

  • Filter by these Custom Fields - use the Custom Fields as a criteria to filter on.
  • Show these Custom Fields on an existing report - add the Custom Field to show on your report

Filtering by Custom Fields:

  • Go to the Data Center
  • Select or choose an existing list.
  • Select
  • Type the name of the Custom Field in this bar or click the bar to select from the dropdown
  • Now you can filter on this Custom Field using the available dropdowns!

Show Custom Fields on a Report:

Custom Fields are available as Columns to show on Reports.
Click on the gear button when on a report to select it.

  • When you are on a Report List, select the gear symbol.
  • This will drop-down a list of all available fields.  Your Custom Field will be on this list!
  • Select the desired Custom Field to add it as a column on your Report.
